Summary: Clair AI is an AI-powered phone receptionist for salons. We collect business information from salon owners, call transcript data from inbound calls, and optional SMS preferences. We do not sell personal data. We do not use your data to train AI models. Call transcripts and SMS logs are deleted after 7 days.

This Privacy Policy describes how Clair ("we," "us," or "our"), operating the Clair AI service at clair247.com ("Service"), collects, uses, stores, and protects information when you use our Service. By creating an account or using the Service, you agree to the practices described in this policy.

1. Who This Policy Covers

This policy covers two categories of people:

Note on Sensitive Information: Callers and salon owners should avoid providing sensitive financial information such as credit card numbers over the phone. Clair does not have a dedicated redaction layer for sensitive data spoken during calls. Payment processing for salon services should be handled through the salon's own payment systems.

3. How Calls Are Handled — AI and Recording Disclosure

Clair AI is an AI voice agent, not a human receptionist. When a call is answered by Clair, the caller is interacting with an automated AI system powered by Retell AI.

Calls handled by Clair are transcribed — converted to text — for the purpose of generating summaries and notifications for the salon owner. Calls are not stored as audio recordings. Only text transcripts and AI-generated summaries are retained, and these are automatically deleted after 7 days.

Salon owners are responsible for complying with all applicable call recording and disclosure laws in their jurisdiction. Call recording consent laws vary by state. Some states require all-party consent. We recommend that Clair's greeting script include a disclosure such as: "This call is handled by Clair, an AI front desk assistant for [Salon Name]. This call may be transcribed."

We use AI services from Anthropic (Claude), xAI (Grok), and OpenAI via their commercial API products, and route requests through OpenRouter.

We do not use your call data, transcripts, caller information, or personal information to train third-party AI models. Per our agreements with these providers, data submitted through their commercial APIs is not used to train or improve their foundational models.

Anonymized, aggregated data about Service performance — such as average call duration or feature usage rates — may be used internally to improve the Clair Service.

6. SMS Notifications and Consent

By providing your phone number and checking the SMS consent checkbox during onboarding or in your portal settings, you explicitly consent to receive SMS notifications from Clair AI about your account activity, including missed calls, callback requests, and new messages. The SMS opt in belongs to the same Clair account and brand that owns the service number and campaign.

7. Cookies and Tracking Technologies

The Clair portal uses session cookies and browser local storage strictly for authentication and session management — to keep you logged in and maintain your session state. We do not use advertising cookies, tracking pixels, retargeting technologies, or third-party behavioral analytics.

We use basic server-side logging for security monitoring and service diagnostics. This data is not used for advertising or profiling.

8. How We Share Your Information

We do not sell your personal information. We share information only with the following service providers who act as data processors on our behalf:

We have agreements with each provider requiring them to protect your information and use it only to deliver contracted services. We do not share your data with advertisers or data brokers.

SMS Opt-In Data: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt in data and consent; this information will not be shared with any third parties.

We may disclose information when required by law, court order, or to protect the rights, property, or safety of Clair, our users, or the public.

9. Business Transfers

In the event of a merger, acquisition, sale of assets, or similar business transaction involving Clair, user data may be transferred to the acquiring entity. We will notify affected users via email prior to any such transfer. The acquiring entity will be required to honor this Privacy Policy or provide users with advance notice of any material changes.

10. Data Retention

Backup copies may be retained for a limited additional period before permanent deletion. Upon account deletion, data is removed from active systems within 30 days and from backup systems within 90 days, except where legal retention is required.

We use industry-standard security measures including encrypted connections (HTTPS/TLS), secure authentication, and role-based access controls. Access to production data is restricted to authorized personnel only.

No method of internet transmission is completely secure. We cannot guarantee absolute security.

Our Service and infrastructure are based in the United States. All data is processed and stored in the US. If you access the Service from outside the United States, your information will be transferred to and processed in the US, which may have different data protection laws than your country.

Clair is currently intended for US-based businesses. If we expand internationally, we will update this policy with appropriate safeguards such as Standard Contractual Clauses (SCCs).

We may update this Privacy Policy from time to time. For material changes, we will update the "Last Updated" date and notify active account holders via email at least 14 days before changes take effect. Continued use of the Service after that date constitutes acceptance of the updated policy.
